Privacy Policy

Flow3 ("we", "our", or "the app") is a collaborative workflow management application developed by Otter Digital. This Privacy Policy explains how we collect, use, and protect your information when you use our app.

1. Information We Collect

We collect the following types of data to provide and improve our service:

Personal Information: Name, email address, and user ID, collected during account creation.
Audio Files: Voice or sound recordings created during collaborative sessions (CoFlow). These are only recorded when you actively participate in a voice session.
Files and Documents: Files you upload to the app for review and collaboration purposes.
App Activity: Navigation history and interaction data within the app, collected automatically to improve the user experience.
Device Identifiers: Device or installation IDs used for app functionality and security.

2. How We Use Your Data

Your data is used for the following purposes:

App Functionality: To provide core features including workflow management, document review, collaboration, and voice sessions.
Account Management: To create and maintain your account, authenticate your identity, and manage your preferences.
Analytics: App interaction data helps us understand usage patterns and improve the app.
Security: Device identifiers help prevent fraud and ensure the security of your account.

3. Data Sharing

We do not share your personal data with third parties for their own purposes. Your data is processed exclusively by service providers acting on our behalf:

Supabase: Cloud database and authentication services.
Agora: Voice communication infrastructure for collaborative sessions.
Cloudflare: Content delivery and security services.

These service providers process your data solely to provide services to us and are contractually obligated to protect your information.

4. Content Ownership

Important: Within each Flow, the Flow owner holds ownership of all content created in that Flow. This includes items, reviews, markups, files, and any other data generated within the Flow. By participating in a Flow, you acknowledge that the content you contribute is owned by the Flow owner.

Your personal account data (name, email, preferences) remains yours regardless of Flow ownership.

5. Data Storage and Security

All data is transmitted using HTTPS/TLS encryption in transit.
Data is stored on Supabase (PostgreSQL) with encryption at rest.
The app also stores data locally on your device using an encrypted SQLite database for offline functionality.

6. Data Retention

We retain your data for as long as your account is active. Voice recordings from collaborative sessions are retained as part of the Flow's records. You can request deletion of your data at any time (see Section 8).

7. Your Rights

You have the right to:

Access your personal data stored in the app.
Correct inaccurate personal information.
Delete your account and associated data.
Export your data in a portable format.

8. Account Deletion

You can delete your account and all associated data directly within the app. Upon deletion:

Your personal information (name, email, user ID) will be permanently removed.
Content you contributed to Flows will be retained under the Flow owner's ownership, but your personal identifiers will be anonymized.

9. Children's Privacy

Flow3 is intended for users aged 13 and older. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal data, we will take steps to delete such information.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes through the app or by email. Continued use of the app after changes constitutes acceptance of the updated policy.
